Creatio-Based Automation for Advanced Healthcare Operations and Better Patient Experience

Velvetech assists the Egyptian Health Department in bringing its operations into the centralized system by implementing the agentic no-code platform.
  • Project: The development of a centralized system with a secure client web portal
  • Duration: Ongoing
  • Technologies: Collective Medical, Creatio platform, Azure DevOps, Azure Cloud Functions, C#, .NET CORE, React, NodeJS
  • Target Audience: Staff and patients

Egyptian Health Department (EHD)

Egyptian Health Department (EHD) is a regional public-health agency in southern Illinois that provides exceptional well-being services to enhance the lives of individuals and their families.

By adopting Creatio’s agentic no-code platform, EHD created a unified environment, thus cutting down on operational costs and improving overall workflow.
Creatio enabled Egyptian Health Department to generate one-click compliance reports, therefore making the process both fast and error-free.
The Velvetel telephony integration into Creatio simplified patient calls, consent capture, screening, and automated follow-ups, leading to better care coordination.
Workflow automation allowed EHD to reduce manual data entry by 50% and improve reporting efficiency by 60%.

The Case

Egyptian Health Department struggled with multiple siloed systems for conducting screenings, reconciling records, and managing referrals. As such, the company faced operational complexities, as well as rising vendor costs. Soon, EHD understood that without a single source of truth, it could hardly operate effectively and remain trustworthy.

Challenges

Juggling between several disconnected systems, EHD wasn’t capable of streamlining workflows and ensuring smooth data exchange. That is mostly because each system addressed only a portion of the overall process. The company needed to establish record consistency, so they had to rely on costly integrations, which often negatively affected direct services.

Fragmented systems also increased the risk of errors, leading to inaccurate compliance reporting. Additionally, siloed infrastructure offered limited automation, thus driving up manual work and draining valuable resources.

To overcome these challenges, EHD needed a centralized system, smooth integrations, and full control of its data and processes. And perhaps nothing could meet these goals better than Creatio agentic CRM. As a certified Creatio partner with hands-on experience in delivering advanced digital healthcare software, Velvetech stepped in to efficiently sort things out.

Process

Process

By assessing the client’s main pain points, our team outlined the critical steps needed to create a unified system that improves workflows and streamlines overall patient management. Here is how the process looked.

Workflow Automation with No-Code

As mentioned, EHD used to manually manage tasks like case coordination, referrals, care plan updates, and even compliance reporting. This approach was both time-consuming and prone to errors.

We automated these tasks using the Creatio platform’s capabilities. Its low-code/no-code nature allowed our team to quickly centralize the Client’s operations and create an easy-to-maintain system, which can be simply fine-tuned anytime to meet EHD’s growing business needs.

The cherry on top of this automation is probably the one-click compliance report generation. Now, Egyptian Health Department can rely on the system to create mandatory reports such as Food Security, Housing Stability, and Depression Screening, and similar CMS and state reporting in seconds and with high accuracy.

Moreover, Medicaid HFS client and claims data are now imported directly into Creatio. This notably elevates analytics and audits, and assists EHD in medical program evaluation.

We’re seeing the impact in very concrete ways: less manual entry, faster reporting, and a clear path to cutting integration and maintenance costs nearly in half.

Self-Service Customer Portal

Another goal of EHD was to simplify patients’ interactions with their medical records. To get there, we set up a secure client portal. So now, patients can effortlessly log in to the system and review personal well-being information. On top of that, the portal allows parents to access their children’s health records.

These are just the initial capabilities of the portal. In the near future, it is expected to offer more self-service features, allowing people to stay more engaged in their overall well-being and care.

Telephony-Integrated Screening

The Egyptian Health Department aimed to streamline communication with patients and elevate data management. Built for the Creatio marketplace and integrated precisely with the platform, Velvetel Telephony enables the company to meet these goals. It plugs seamlessly into Creatio’s data model and ensures accurate data capture from the very first interaction.

Now, staff can simply place calls, get consent, and record screening responses directly in the platform in real time. In addition, they can automate follow-ups: once screening is completed, the system independently triggers tasks, referrals, scorecards, and care-plan updates.

AI-Driven Foundation for Public Health

One of the defining factors EHD selected the Creatio platform is its AI readiness. The company is planning to apply machine intelligence and leverage data analytics to improve public health coordination and enhance preventive care.

Moreover, with Creatio, they can easily integrate AI models to identify at-risk patients, forecast client volumes, evaluate program-demand trends, and other related factors to provide more advanced services.

What matters most in public health is deploying AI safely. Creatio gives us a controlled environment where we can automate tasks and eventually use AI to assist our staff—identifying risks, surfacing insights, and improving coordination without adding complexity.
